Getting Started with Chemical

As an apparel, textile, or footwear supplier, you know that chemical management is an increasingly urgent issue. More and more, you are asked to disclose your chemical management activities to customers and authorities in different formats and time frames.
With the need to report on your processes and procedures, respond to audits, and measure chemical compliance against multiple Manufacturing Restricted Substance Lists (MRSLs), you may be struggling to track your data and respond to multiple requests.

Step 1: How it Works

 

Step 2: Access to the Chemical Module

In order to access the Chemical Module, you must be registered in CleanChain. To complete this step, please read "Sign Up for a CleanChain Account ".
Follow the steps below to open the Chemical Module. 
  1. Login to CleanChain.

  2. Select the factory you would like to access on the home screen by using the organization drop-down menu at the top of your screen.

Step 3: Syncing Chemical Inventory

The foundation of CleanChain is your chemical inventory data, which is used to automatically determine your company’s compliance and conformance levels against different MRSLs. There are four methods to import your data in CleanChain: manualexcelcopy previous inventory, and Add SDS.
Before you begin:
  • Make sure you have the most accurate and complete information to add to your monthly inventory list.
  • Understand your customer’s request for inventory data.
    Make sure you are clear on what they are asking for and contact your customer or ADEC if you have questions about a specific requirement. Specifically, you should know:
    • What quantity type(s) is required (Stock Take, Delivery, Usage)
    • How often you need to upload your inventory and by what date
    • If there are additional questions you need to answer about your inventory, also known as Inventory Product Questions (IPQs).
  • Your inventory must show as “Matched” and "Completed" in order to be considered complete.

How to Add New Inventories

  1. Click Chemical.
  2. Click Inventory.

  3. Click Add New Inventory. 

  4. Select month.

  5. Select an inventory type.

  6. Four (4) ways to add inventories:
  1. Add Product (Manual) - This option allows the user to add a product individually.

 

    1. Select Add Product or Add Inventory Row

    2. Choose a product from the list by ticking the radio button.
    3. Then, click the select button to add the product to the inventory. 

        Refer to the Source Options Matrix below:

      Product Name

      Product Code

      ZDHC PID

      My Inventory Products

        

      ZDHC Gateway Library

      Other Third-Party Providers

      CleanChain Products



    4. Enter the weight of the product then select the unit of measurement then, click save. 

    1. To add another product that is not on the list, click Create New Product button. Please refine your product search before adding a product as new to avoid creating a duplicate product.


    1. Enter details of the new product then type the name of the formulator or double click the field to select the formulator from the list.

  1. Click save and complete when done.

 

  1. Upload Excel – This option allows the user to upload a provided CleanChain CIL template.
    Note: To upload products via excel, you must use the template provided.

 

      1. Select upload excel or upload



      1. Select your template language, then choose a template to download.
  • Delivery/Usage Template – Select this template if you prefer a blank template
  • Pre-populated Template – Select this template if you prefer to use a previous inventory list
                       
      1. Complete your excel template.
        Formulator and Date are not required. Ensure to populate the ZDHC PID field for accurate matching with the ZDHC Gateway Library.

        Note: Please do not alter the template, this will cause an error when uploading to CleanChain. You may refer to the source option matrix for guidance on how to get an accurate match in the ZDHC Gateway Library.
      2. Upload the updated template



    1. Copy Existing Inventory – This allows the user to duplicate an existing copy of the inventory list, however it is important to note that modifications on product weight is necessary.
  1. Select Copy Existing or Copy


  2. Copy a previous list of inventories by ticking the checkbox from the list.

 

  1. Click Go

 

  1. Update the product weight then, click save or save and complete when done.

v. To add new products, refer to step 6.

 

  1. Add SDS – This option allows the user to upload an existing SDS (PDF format). The system’s language-agnostic functionality allows the user to process documents in multiple languages including Chinese, Turkish, Spanish, Portuguese, and others.

 

    1. Select Add SDS


                                   

    1. Select SDS from the list then, click Add to my inventory.

  1. Click Upload Data Via Excel Template.
    1. Click Chemical.
    2. Click Inventory.
    3. Drag & drop your file, or choose the file by clicking Browse
        
      CleanChain will automatically process your inventory. 

A) For those products marked with a  , you will need to complete the product matching manually. 
      1. Click the  to open the CleanChain database.

      2. You can filter by Source and Certification, allowing you to see ZDHC MRSL conformant products only. You can also choose from products used in past inventories.

      3. Tick the button next to the product name when you have found the correct product and then, click Select.

B) For products with a Find Substitute under ZDHC Level, this means that the product has no ZDHC MRSL level. 
  1. Click Find substitute.

    You will be redirected to match your product.
  2. Search for the ZDHC PID in the ZDHC Gateway Library.
  3. Click Search.
  4. Choose a product with a certification level.

  5. Click .
C) For products with a Set Commodity under Commodity Name column, you can set the commodity name by following the steps below. 
  1. Click Set Commodity.

  2. Search for the product.

  3. Click .

 
Step 4: Inventory Management

To view unique, matched products and their conformance by month, follow the steps below: 
    1. Click Chemical.
    2. Click Inventory Products

    3. Make sure to click MY INVENTORY PRODUCTS tab. 

    4. Select a month you wish to view.
      You can also search for individual products within a month. 

    5. Click Search .
      Note: Your products will appear below. 

       You will be able to view Product nameconformance, and activity in the selected month for all products.
       
    6. Click the Product Name to open the Product Card in a new tab.
      This is where you can view specific product details including safety data sheets and laboratory analyses. 


    7. Click the Product Activity under the ACTIONS column to view the product activity.

    8.  Click  to view the questionnaire.

Step 5: Reporting and Dashboard

You can find advanced reporting and analytics on your inventories in the CleanChain Dashboard.
To access your Dashboard, follow the steps below: 
  1. Click Dashboards.
  2. Click Chemical.

  3. Click the Product Conformance tab.
    This is where you can view and filter your products as well as drill down into specific product categories. 

  4. Filter your dashboard results.

  5. Use the Diagram to view product conformance at a glance.

  6. Hover over the sections in your diagram to view how many products are in each section.
    Note: The diagram will change depending on whether you are viewing by count or activity. 

  7. Click a result name to view the product on that level.

    Tip: Clicking the product name will open the Product Card .

  8. Click the export button to share your product conformance offline.
