Changes in CleanChain Monthly Inventory Upload Process due to ZDHC Updates

Starting January 02, 2025, ZDHC Gateway product searches can only be made using the ZDHC PID number or the formulator name when being conducted on all approved solution providers' platforms. This includes searches made using the CleanChain platform. ZDHC Gateway product searches must now use the ZDHC PID number or the formulator name while searching those products in solution provider’s platform.

This change affects the inventory uploads requiring suppliers to update the current process for more accurate matches. Therefore, the ZDHC PID field, which is currently optional is now mandatory for ZDHC MRSL Conformant Products for precise results. Furthermore, technical updates are in progress to improve usability.

 

 

Please be guided with the steps below while technical updates are underway:

  1. Navigate to the Chemical Module, then select Inventory.

 

  1. Click Add New Inventory.

 

  1. Select the month you want to perform the inventory for.

 

  1. Select the inventory type.

 

  1. Inventory
    1. For Existing Suppliers with historical inventory data

      1. Select Copy Existing to duplicate an existing copy of the inventory and allow suppliers to modify the product quantity and unit.

 

      1. Copy a previous list of inventories by ticking the checkbox from the list for quicker matching. The products will be matched automatically.

 

      1. Click Go.

      1. Enter product quantity and unit or remove any products that you do not want to add to the current month’s inventory. Click Save and Complete when done.

      1. To add new products, refer to step 6.

 

    1. Uploading inventory for the first time (For New Suppliers)

      1. Select Upload Excel

      1. Download the inventory template.

 

 

      1. When completing the usage template, ensure to populate the ZDHC PID field for accurate product matching (highly recommended).

 

      1. Upload the updated template.

          

  1. Searching for Products

 

a. Products not found will appear in red if they are missing from the Gateway or CleanChain Product Library. Click the warning or the edit icon to go to the search options.

 

b. Search Options

  • ZDHC Gateway Library
    • ZDHC PID (Recommended, accurate match result) – This option lets you search for products that are Active in the ZDHC Gateway Library using the ZDHC PID.


    1. You may refer to your existing inventories to know the ZDHC PID by downloading the excel file.



    2.  You can use and reupload the template to add it as your new inventory.  Please follow the necessary modifications before reuploading:

      • ZDHC PID Formulator Name (Not Recommended, may have multiple match results)

     

    • My Inventory Products
          • Product Name – This search option is applicable to products in your previous inventory list.


      c. If PID is not available from your past inventories, refer to the steps below:

            1. Open the ZDHC Gateway in a different browser. You may open it in incognito or other alternative browsers available on your device.  Note that CleanChain and the ZDHC Gateway cannot be accessed in the same browser at the same time.
            2. Go to the ZDHC Gateway to search for the product name and obtain the PID number.
            3. Repeat #6 Step b to match the results.
