Changes in CleanChain Monthly Inventory Upload Process due to ZDHC Updates



Following the ZDHC Gateway relaunch in August 2026, several changes were introduced to the InCheck generation process. This article outlines the updated requirements and steps for generating an InCheck Report after the relaunch:


New InCheck Report Process

The InCheck Report process has also been updated to support direct inventory submission to ZDHC Gateway and improved status tracking in CleanChain. Once an inventory is published, the final InCheck Report can be downloaded once the supplier publishes the report in the new ZDHC Gateway Platform.


What’s New?
  1. Inventory Reference ID: CleanChain automatically registers eligible Usage or Delivery inventories as draft in ZDHC Gateway and displays the Inventory Reference ID when available. Only one Inventory Reference ID is assigned per Reporting Period, helping prevent duplicate inventories  and improve submission accuracy. In-Progress inventories from June 2026 onward will also be assigned an Inventory Reference ID.
  2. Reassess ZDHC Product Conformance: Users can manually update the conformance assessment of ZDHC products in an inventory to ensure the latest conformance information is used before saving or submitting.

Important: Report availability depends on ZDHC Gateway. If the report is temporarily unavailable, your inventory data and publication status may still be valid. Please try again later. The inventory is being prepared and registered as a DRAFT in ZDHC Gateway. The Inventory Reference ID is displayed when available.. 

Add, update, remove, or clear products. Delete is available only if the inventory does not have an Inventory Reference ID.

Review the inventory, then select Save & Submit to submit the products using the existing Inventory Reference ID.

Completed 

Inventory is finalized but not submitted, commonly for Stock Take or an inactive subscription. 

View and download only. Editing and deletion are no longer available. 

Check the inventory type, subscription, and connection:

Stock Take inventories do not require an InCheck Report and are marked as Completed when finalized. Delivery and Usage inventories require an active InCheck subscription and valid ZDHC Gateway connection to be submitted.

Submitted 

Inventory was sent to ZDHC Gateway and is under review. 

View and download only. Refresh is available to check for a status change. 

Complete the Gateway action, then select Refresh to check the latest status. 

Published 

Inventory was published through ZDHC Gateway. 

View and download available outputs. Refresh is available to check for a status change. 

Download available outputs or select Refresh to check the latest status. 

Declined 

Inventory was declined through ZDHC Gateway. 

View and download Excel. Refresh is available to check for a status change. 

Review the decline information, select Refresh, or contact support for guidance.

Please be guided with the steps below while technical updates are underway:

  1. Navigate to the Chemical Module, then select Inventory.

 

  1. Click Add New Inventory.

 

  1. Select the month you want to perform the inventory for.

 

  1. Select the inventory type.

 

  1. Inventory: Upon selecting the inventory type, if both a Usage inventory and a Delivery inventory exist for the same Reporting Period, only one inventory can have the Inventory Reference ID. If needed, use Assign Inventory Reference ID to transfer the existing ID to the other inventory type. For detailed instructions, refer to How to Upload Inventories in CleanChain.  

    1. For Existing Suppliers with historical inventory data

      1. Select Copy Existing to duplicate an existing copy of the inventory and allow suppliers to modify the product quantity and unit.

 

      1. Copy a previous list of inventories by ticking the checkbox from the list for quicker matching. The products will be matched automatically.

 

      1. Click Go.

      1. Enter product quantity and select unit or remove any products that you do not want to add to the current month’s inventory. Toggle the switch to set if chemical is a non-production chemical. Click Save & Submit when done.

      1. To add new products, refer to step 6.

 

    1. Uploading inventory for the first time (For New Suppliers)

      1. Select Upload Excel

      1. Download the inventory template.

 

 

      1. When completing the usage template, ensure to populate column G  with the Product Reference ID or ZDHC PID for accurate product matching (highly recommended).

                        

 

      1. Upload the updated template.

          

  1. Searching for Products

 

a. Products not found will appear in red if they are missing from the Gateway or CleanChain Product Library. Click the warning or the edit icon to go to the search options.

 

            

b. Instead of searching by product name, you may search using ZDHC PID / Product Reference ID or the Formulator Name.

    • ZDHC PID / Product Reference ID (Recommended, accurate match result) – This option lets you search for products that are Active in the ZDHC Gateway Library using the ZDHC PID / Product Reference ID.


    1. You may refer to your existing inventories to know the ZDHC PID by downloading the excel file.



    2.  Download your latest CIL and you can copy the ZDHC PID or the Product Reference ID into the excel template. Complete the data such as quantity, unit and then, reupload the data to update your current inventory.

      • ZDHC PID Formulator Name (Not Recommended, may have multiple match results)

     


                      c. If PID is not available from your past inventories, refer to the steps below:
          1. Open the ZDHC Gateway in a different browser. You may open it in incognito or other alternative browsers available on your device.  Note that CleanChain and the ZDHC Gateway cannot be accessed in the same browser at the same time.
          2. Go to the ZDHC Gateway to search for the product name and obtain the PID number.
          3. Repeat #6 Step b to match the results.
