How to Upload Inventories in CleanChain

Note: Users need an Essential or Premium subscription in order to use these functions.

  1. Click Chemical.

01) Add Product

  1. Add Product - This option allows the user to add a product individually.

b.     Choose a product from the list by ticking the radio button.

c.     Then, click the select button to add the product to the inventory.

d.     Enter the weight of the product then select the unit of measurement then, click save.

e.     To add another product that is not on the list, click Create New Product button. Please refine your product search before adding a product as new to avoid creating a duplicate product.

f.      Enter details of the new product then type the name of the formulator or double click the field to select the formulator from the list.

02) Upload CIL Using Excel

  1. Click Chemical.
  2. Click Inventory.

    Note: Please do not alter the template, this will cause an error when uploading to CleanChain.  

    1. For ZDHC Product Searches, please ensure to populate the ZDHC PID field for accurate product matching.

A) For those products marked with a, you will need to complete the product matching manually. 

1.     Click to open the CleanChain database.


2.     Match the product.
          Note: As you search, you can trim or shorten the product and manufacturer name to display more possible matches. You can filter by Certification, allowing you to see ZDHC MRSL                      conformant products only. You can also choose from products used in past inventories. If the product is NEW, then click, Create New Product.

Choose a product from these sources:
- My Inventory Products (Products you have added to your Library)
- ZDHC Gateway Library (Products Active on the ZDHC Gateway Library) Note: For details, refer to item c. under 01 Add Product in the Search Option Matrix.
- Other Third-Party Providers
- CleanChain Products (Products available in CleanChain and ZDHC Gateway)

Note

-If you cannot find the product from either My Inventory Products or ZDHC Gateway Library, select CleanChain Products.
-You can search using a Product Code except in ZDHC Gateway Library.

 

3.     Select the product.

4.     Click Save and Complete when done.


B) For products with a Find Substitute under ZDHC Level, this means that the product has no ZDHC MRSL level. 

    1. Click Find substitute.
      You will be redirected to match your product.
    2. Search for the ZDHC PID in the ZDHC Gateway Library.
    3. Click Search.
    4. Choose a product with a certification level.

C) For products with a “Set Commodity” under Commodity Name column, you can set the commodity name by following the steps below. 

    1. Click Set Commodity.
    2. Search for the product.

03) Copy From Existing Inventories

If you upload the same products every month, it can save a great deal of time to copy over from an existing inventory.
    1. Click Chemical.
    2. Click Inventory.

    3. Click Add New Inventory.
    4. Select a date.
    5. Select an inventory type.

    1. Delivery - This inventory type are the chemicals that have been recently delivered and need to be added to your inventory.
    1. Usage – This inventory type are the chemicals that have been taken from your existing stock and used in the creation of a product.

    2. Select an inventory to copy.

    1. Enter product quantity and unit or remove any products that you do not want to add to the current month’s inventory. Click Save and Complete when done.

    1. Products not found in the recently copied list will appear in red if they are missing from the
      Gateway or CleanChain Product Library. Click the warning or the edit icon to go to the search options.

    1. ZDHC PID (Recommended, accurate match result) – This option lets you search for products that are Active in the ZDHC Gateway Library using the ZDHC PID.

b.     You can use and reupload the template to add it as your new inventory. Please follow the necessary modifications before reuploading:

      1. Product Name – This search option is applicable to products in your previous inventory list.

12.  Then, click New Product
13.  If PID is not available from your past inventories, refer to the steps below:
a.     Open the ZDHC Gateway in a different browser. You may open it in incognito or other alternative browsers available on your device. 
Note that CleanChain and the ZDHC Gateway cannot be accessed in the same browser at the same time.
b.     Go to the ZDHC Gateway to search for the product name and obtain the PID number.
c.     Repeat Step #11 to match the results.

04) Add SDS

1.     Add SDS – This option allows the user to upload an existing SDS (PDF format). The system’s language-agnostic functionality allows the user to process documents in multiple languages including Chinese, Turkish, Spanish, Portuguese, and others.

b.     Select SDS from the list then, click Add to my inventory.

c.     Update the product weight and unit then, click save or save and complete when done.
